TYFA organizes a series of key meetings throughout the Calendar year.
These meetings are essential to the continued success and alignment of our activities, and attendance is mandatory.
We provide ample lead time for all meetings to ensure proper preparation and participation.
Nonattendance is strongly discouraged, and organizations that fail to attend will be subject to fines for non-compliance.
Please note, you are contractually obligated to have a voting member of your organization present at all scheduled meetings.
Nonattendance at meetings will incur a fine of $400
Annual Meeting (March): Mandatory, In-Person/Virtual (for members located 6+ hours away)
This meeting is essential for discussing the previous year’s performance, reviewing membership status, financial reports, rule changes, and voting on critical matters impacting the organization.
Spring Season Meeting: Highly Recommended for Participants
This meeting is vital for those actively involved in the spring season and will provide key updates.
Cheer Meetings & Conference: Highly Recommended for Participants
These sessions are particularly relevant for those involved in cheerleading and provide valuable information for the season ahead.
Fall Pre-Season Meeting (June): Mandatory, Virtual
Attendance is required to review certification processes and discuss rule adaptations based on Spring beta testing outcomes.
In the event of any urgent matters, additional meetings may be scheduled under the designation of "Emergency," which will be mandatory and, in most cases, conducted virtually.
Note: Unlike many other leagues, TYFA values your input. As a member, you have the opportunity to suggest rule changes, propose new rules, and actively participate in shaping the future of the league. We operate on a democratic process, and your voice matters. You have a direct say in what happens within TYFA.
Your full participation in these meetings is essential for maintaining a cohesive and informed league. Missing meetings not only disrupts progress but also results in financial penalties. It is imperative that you fulfill your contractual obligation to ensure a voting member of your organization is present at every meeting.
A quorum must be present for business (votes or decisions) to be conducted. 75% of TYFA's league members, or of a chapter's members must be present (no proxy) either in person or virtually to form a quorum.
All members have equal rights, privileges and obligations to participate in a debate and vote as long as they are in "Good Standing."
2/3 [rounded up] of the vote is required to win. Example: If 60 present, but only 50 vote. 2/3 of 50 (33.3 rounded to 34) is required to carry the vote.
